How to Set Up Opening and Closing Time from Backoffice

For managers who configure a location's operating hours and POS business-day boundaries.

Purpose

Set the opening and closing time for each day of the week. SalsaPOS uses this schedule to keep restaurant activity in the correct operational day, even when service continues after midnight.

Why SalsaPOS Needs These Times

A restaurant's business day does not always match the calendar day from midnight to midnight. For example, an order placed at 1:00 AM may belong to the previous evening's service. The configured schedule gives SalsaPOS one consistent boundary for:

POS areaHow the schedule is used
Order ListSeparates Today's orders from Prev. Orders using the location's opening time instead of midnight.
Closing and reportsCalculates current operational-day orders, sales, transactions, tips, and order items for close-out summaries.
Cash In/OutShows cash movements that belong to the current operational day.
Clock recordsFinds the staff clock record within the current opening-to-next-opening period.
Menu and kitchenSelects the operational weekday for Daily Specials and uses the opening boundary for daily KOT numbering.

Important: Opening and closing times define the POS operational day. They do not automatically lock the POS or perform Restaurant Closing.

Before You Start

Part 1: Set the Hours in Backoffice

  1. Open Settings. Under Preferences, select Opening and Closing Time. Backoffice Settings page with Opening and Closing Time highlighted
  2. Under Select Location, select the location whose hours you want to configure. Hours are saved separately for each location. Backoffice Opening and Closing Time page showing location choices
  3. Review Monday through Sunday. For each day, the first field is the opening time and the second field is the closing time. Opening and Closing Time form with opening and closing fields for every day
  4. Select the opening field, choose the hour and minute in the 24-hour time picker, and confirm with OK. Repeat for the closing field. Backoffice 24-hour time picker for an opening time
  5. If every day uses the same hours, complete Monday and select Apply to all. Otherwise, enter each day separately. Check all seven days, then select Save. Opening and Closing Time form with the same hours applied to all days

Mandatory: After saving the changes in Backoffice, fully restart the SalsaPOS application on every POS device. The new opening and closing times are not ready for use until the app restarts and synchronizes.

Part 2: Restart and Verify SalsaPOS

  1. Fully close SalsaPOS, then open the application again. Signing out without restarting is not enough. Wait while SalsaPOS loads and synchronizes the latest Backoffice data. SalsaPOS loading Backoffice data after the mandatory restart
  2. When the PIN screen appears, confirm the bottom-right status shows Cloud Connected. The POS is ready to use; staff can enter their PIN and continue normally. SalsaPOS PIN screen showing Cloud Connected after restart

What appears on POS: The configured times are not shown as editable fields on the POS. They are downloaded in the background and used as the location's operational-day schedule.

Part 3: How Opening and Closing Time Works on POS

  1. Before today's opening time: SalsaPOS still treats activity as part of the previous operational day. In Order List, the Today's filter represents the business period that started at the previous day's opening time and ends at today's opening time. 2. When today's opening time is reached: A new operational day begins. New orders, cash movements, clock records, closing totals, and daily KOT numbering use the period from today's opening time up to the next day's opening time. There is no opening popup; staff continue using the normal order screen. Daily Specials use the new operational weekday. Normal SalsaPOS order screen used after the new operational day begins
  3. During the operational day: The Today's Order List filter contains orders created since the operational day opened. The Profile's last-seven-days tips history follows operational periods, and closing summaries use the current opening-to-next-opening window so overnight activity is not split at midnight. POS Profile screen showing current sales, orders, tips, and working information
  4. When the configured closing time is reached: SalsaPOS does not show a closing popup, log staff out, disable the order screen, or automatically close the restaurant. Staff can finish late orders, and activity remains in the current operational day until the next opening time. POS order screen that remains available because closing time does not automatically lock SalsaPOS
  5. Managers still close the restaurant manually: Open the manager Profile, select Close Shift, clear remaining orders, confirm team status, count cash, and select Close Restaurant. This workflow is separate from the configured closing time. Restaurant Closing screen requiring manual order, team, and cash checks
  6. At the next opening time: The previous operational period moves under Prev. Orders, and a new Today's period begins. This opening-to-opening rollover keeps late-night orders with the correct restaurant day. POS Order List showing orders under the Prev. Orders filter after operational-day rollover

Expected Result

The selected location has opening and closing times for every day. After the mandatory restart and synchronization, SalsaPOS groups operational activity from one opening time to the next. Reaching closing time does not automatically close or lock the POS; managers complete Restaurant Closing manually.

Behavior Note

The POS screenshots show the real screens affected by operational-day grouping. SalsaPOS has no special screen that appears exactly at opening or closing time; those boundary changes happen in the background.
