How to Configure Online Ordering Management
Purpose
Use this guide to enable online ordering for a location, configure the customer experience and order-handling rules, then restart and verify SalsaPOS.
Mandatory: After saving changes in Backoffice, fully close and restart the SalsaPOS application on every affected POS and KDS device. The new online ordering configuration is not ready for use until the application restarts.
Before You Start
- Sign in to Backoffice with permission to change location settings.
- Confirm the location you need to configure. These settings apply to the selected location.
- Prepare the brand color, offer banner images, ordering hours, expected wait times, accepted payment methods, and the restaurant's POS/KDS acceptance process.
- Keep each affected POS and KDS connected to the internet for the restart and verification.
Part 1: Configure Online Ordering in Backoffice

Open Settings. Under Ecosystem, select Online Ordering Management.

On Online Ordering Configurations, select the location you want to configure. Check the location name and details before continuing.

Turn on Enable Online Ordering. Use Copy Link when you need to share or test the location's online ordering page.

Select Theme and Branding.
Choose the customer-facing brand color or enter its hexadecimal color value, then select Save.

Select Order Type Settings.
Enable Take Out, Dine In, or both, based on the services offered by the location. Select Save. Customers can use only the enabled order types.
- Turn on Loyalty Program Settings when online guests may earn or use loyalty benefits. Leave it off when the location does not support loyalty for online orders.

Select Offer Banner for Online Ordering.
Select Click to Upload (5) and add up to five promotional images. Use 1920 × 1200 pixels and a maximum size of 1 MB per image, review the uploaded banners, then select Save.

Select Enable or Modify Tip Options.
Turn on Enable Tips on Online Ordering when tipping should be offered. Enter the four tip percentages shown at checkout. Select Apply To All Locations only when these values should replace the tip setup everywhere, then select Save.

Turn on Upsell Feature Toggle to show configured add-ons or complementary items during online ordering. Leave it off when no online upsell flow is required.

Select Receipt Preferences.
Enable SMS Receipts, Email Receipts, or both, according to the receipt choices the location offers to online guests.

Select Generate QR Code for Ease Access.
Select the required entries from the dropdown, then select Generate QR. After generation, save or download the QR code using the option shown so customers can scan it to open the ordering page.

Select Set Wait Time By Order Type.
Enter the expected wait time for each enabled order type. Use the displayed format, such as 6h 45m, where h means hours and m means minutes. Select Save.

Select Online Ordering Hours.
Set the start and end time for every day that accepts online orders. Use Apply to all only when the same hours should be copied to every day, then select Save. These hours can differ from the restaurant's normal opening and closing times.

Turn on Allergen Selection in Items Customization when customers should be able to view and select configured allergen options while customizing online items.

Select Order Status Notification.
Enable the channels the location will use for order updates: SMS, Email, and/or Push Notification. Guests must provide the matching contact details for SMS or email updates.

Under Order Acceptance Mode, enable POS (Point of Sale) when front-counter staff should review incoming online orders, and enable KDS (Kitchen Display System) when kitchen staff should review them. Follow the restaurant's rule for which team makes the final accept or reject decision.

Under Payment Methods, enable only the methods that the location can complete: Gift Card Payments, Pay at Counter, and/or Credit Card Payments. Confirm the required payment account or hardware is already configured before enabling a method.
- Review the selected location and all choices. Select Save on every detail page that provides a Save button.
Restart required: Fully close and restart SalsaPOS on every affected POS and KDS device now. Do not test the saved Backoffice configuration before completing this restart.
Part 2: Restart and Verify on POS
- Fully close SalsaPOS and open it again. Wait for the location data to finish loading and confirm the POS is online.
- Using the copied link or generated QR code, open the customer ordering page. Confirm the saved brand color, order types, offer banners, tips, receipts, ordering hours, allergen selection, upsells, and payment methods match the location's setup.
- Place an approved training order during the configured online ordering hours. Use an enabled order type and approved test payment flow.

If POS acceptance is enabled, remain on the POS order screen. When the online order arrives, confirm the notification bell shows a count badge.

Tap the notification bell. Confirm the order appears in Notifications as an E-com order, then select View order.

Review the order type, customer, items, modifiers, payment, total, and wait-time expectation. Select Accept when the order can be prepared, or Reject only when it cannot be fulfilled.
- If KDS acceptance is enabled, confirm the matching online order reaches KDS and have kitchen staff accept or reject it according to the restaurant's process.
- Complete the approved training flow and confirm the guest receives enabled receipt and order-status updates.
Expected Result
After SalsaPOS restarts, customers can order through the location's link or QR code using the enabled schedule, order types, features, and payments. Incoming orders reach the enabled POS and/or KDS review channel, and configured receipt and status updates are available.
Troubleshooting
- The old settings still appear: Confirm the correct location and each detail page were saved, then fully close and restart SalsaPOS again.
- The online page does not accept orders: Confirm Enable Online Ordering is on and the current time is inside the configured online ordering hours.
- An order type, banner, tip, receipt, allergen, upsell, or payment option is missing: Reopen that setting for the correct location, confirm it is enabled and configured, save, then restart SalsaPOS.
- No POS notification appears: Confirm POS (Point of Sale) is enabled under Order Acceptance Mode, the POS is online, and the test order completed successfully.
- No KDS ticket appears: Confirm KDS (Kitchen Display System) is enabled, KDS was restarted and is online, and the order contains kitchen-preparable items.
- A QR code opens the wrong page: Generate it again with the correct entries selected and replace the previously displayed or printed code.
Notes
The screenshots use the Sky zone training location. Location names, menu data, available payments, and customer-facing content vary. The generated QR result and tenant-specific automatic-acceptance behavior should be confirmed by a product owner or QA user before this guide is published to staff.
